1. Acceptance of Terms

By accessing our website or subscribing to our services, you confirm that you are at least 18 years old and legally capable of entering into a binding agreement.

These Terms apply to website visitors and customers who have validly accepted or incorporated these Terms into their service arrangements.

2. Use of the Website

You agree to use our website only for lawful purposes.

You may not:

Violate applicable local, state, federal, or international laws.

Interfere with another user's access to the website.

Upload or distribute malicious or unlawful content.

Attempt unauthorized access to our systems.

Engage in fraudulent or deceptive activities.

3. Intellectual Property Rights

All content, logos, graphics, software, and other materials displayed on our website are owned by Teletopia Communications or its licensors.

Unauthorized reproduction, modification, or distribution is prohibited without written permission.

4. Customer Accounts and Responsibilities

Customers are responsible for maintaining accurate contact information, billing information, and payment methods.

Customers must promptly notify Teletopia of changes affecting their accounts.

Customers are also responsible for maintaining the security of their account credentials and any equipment provided for their services.

5. Billing and Payment Terms

5.1 Recurring Billing

Teletopia services are billed on a recurring basis, generally every 30 days or according to the customer's established billing schedule.

Payment is due on the date specified on the invoice or account statement.

Customers are responsible for ensuring that payments are received by the applicable due date.

5.2 Automatic Payment Authorization

Automatic payments are Teletopia's standard billing method.

Customers enrolled in Auto Pay authorize Teletopia to charge their designated payment method for recurring service charges and other properly disclosed and authorized amounts.

Accepted payment methods include Visa, Mastercard, American Express, and Discover.

Customers are responsible for maintaining valid payment information and sufficient available funds.

5.3 Prepayment Option

Customers who prefer not to use monthly automatic payments may arrange to prepay a minimum of three months of service.

Prepayment arrangements must be established with Teletopia before the applicable billing date.

5.4 Three-Day Payment Grace Period

Teletopia provides a grace period of three (3) calendar days following the scheduled payment due date.

Customers must ensure that payment is successfully received within this period to avoid late-payment charges.

The grace period does not change the original payment due date.

5.5 Late Payment Fee — $24.99

A $24.99 Late Payment Fee will be assessed when payment is not received within three (3) calendar days following the scheduled payment due date, where permitted by applicable law and the customer's governing agreement.

For example, when payment is due on the 7th of the month:

Payment Due Date: 7th

Grace Period: 8th through 10th

Late Payment Fee Applies: Beginning on the 11th

The $24.99 Late Payment Fee is a fixed charge and is not calculated as a percentage of the outstanding balance.

Only one late-payment fee will be assessed for the same overdue billing-cycle obligation.

The assessment of a late-payment fee does not necessarily indicate that service has been suspended or reinstated.

5.6 Auto Pay Failure Fee — $9.99

Effective October 1, 2026, a $9.99 Auto Pay Failure Fee applies when a scheduled automatic payment is declined, rejected, or cannot be successfully processed, subject to applicable law and the customer's payment authorization or governing agreement.

Reasons for payment failure may include:

Insufficient available funds.

Expired credit or debit card.

Incorrect or outdated payment information.

Declined transactions.

Payment rejection by the issuing financial institution.

The Auto Pay Failure Fee is separate from the Late Payment Fee.

If an automatic payment fails and the balance remains unpaid beyond the three-day grace period, the account may also incur the $24.99 Late Payment Fee.

Teletopia will not assess duplicate failed-payment fees solely because it retries the same scheduled transaction.

5.7 Outstanding Balances

Customers remain responsible for all valid outstanding charges, including recurring service fees, applicable taxes, and authorized billing fees.

Failure to pay outstanding balances may result in service suspension or disconnection, subject to applicable notice requirements and law.

5.8 Billing Disputes

Customers who believe a charge is incorrect should contact Teletopia promptly at:

[email protected]

Teletopia will review billing concerns and correct verified errors.

Applicable legal protections concerning disputed charges and service interruptions will be honored.

6. Service Availability and Suspension

Teletopia strives to provide reliable telecommunications and internet services.

However, uninterrupted availability cannot be guaranteed due to maintenance, outages, equipment failures, network conditions, or circumstances beyond our control.

Accounts with overdue balances may be subject to suspension or disconnection in accordance with applicable laws, notice requirements, and service agreements.

Customers remain responsible for valid outstanding balances regardless of service status.

7. Cancellation and Termination

7.1 Cancellation Notice

Customers requesting cancellation must provide 30 days' written notice, subject to applicable law and any controlling service agreement.

Cancellation requests must be submitted to:

[email protected]

7.2 Final Billing

Customers remain responsible for valid charges incurred during the applicable cancellation notice period.

All outstanding balances must be paid according to the applicable payment terms.

Any early termination charges must be separately authorized by the customer's governing service agreement.

7.3 Company-Owned Equipment

Equipment provided by Teletopia, including Yealink IP telephones, routers, and other designated devices, remains Teletopia property unless expressly sold to the customer.

Upon cancellation, customers must leave company-owned equipment at the service location or make arrangements for its return or collection.

Customers must not intentionally damage, dispose of, or transfer ownership of Teletopia equipment.

7.4 Telephone Number Portability

Customers may transfer eligible telephone numbers to another telecommunications provider in accordance with applicable federal regulations.

The receiving provider generally initiates the number-transfer process.

Customers are encouraged to maintain service until the transfer is completed to minimize disruption.

Outstanding financial obligations remain payable but will not be used to improperly prevent an otherwise valid number-porting request.

8. Limitation of Liability

To the fullest extent permitted by applicable law, Teletopia Communications shall not be liable for indirect, incidental, special, or consequential damages resulting from website usage or service interruptions.

Nothing in these Terms excludes liabilities that cannot legally be limited.

9. Indemnification

To the extent permitted by applicable law, users agree to indemnify Teletopia Communications against claims arising from unlawful use of the website or services or material violations of these Terms.

10. Privacy Policy

Teletopia respects customer privacy.

Personal information collected through our website and services is handled in accordance with our Privacy Policy and applicable laws.

11. Changes to Terms & Conditions

Teletopia reserves the right to update these Terms & Conditions.

Material changes affecting existing customer billing obligations, fees, or service arrangements will be communicated and implemented in accordance with applicable laws and contractual requirements.

Updated terms will apply prospectively as legally permitted.

12. Governing Law

These Terms & Conditions shall be governed by the laws of the State of Georgia, United States, except where applicable federal law takes precedence.
